Purpose of the position: Responsible for administrative tasks and reception
Tasks
* Answer and transfer phone calls and keep updated directories of the BU.
* Respond with quality, efficiency, kindness to the visitors related to pick up OPS documents and invoices
* Respond with quality, efficiency, kindness to the general visitors and conduct them with whom they correspond.
* Check and control the meeting spaces in the BU.
* Procure, control, distribution and receipt of office supplies.
* Registration of entrance and exit of people outside the institution.
* Assist managers in all administrative task.
* Assist General Manager
* Letters (ports, commercial references, Colon Free Zone pass)
* Coordination and follow up of the executive transport and the messenger between the different sites
* Support to internal activities
* Support needs related to administration and security areas
Decision Making Authority
* Stop any work where in your opinion it would be deemed unsafe to proceed in co:operation with local Management.
* Barricade any restricted or unsafe areas in the workplace
* Conference room administration
* Agendas reviewing
