But before therapy can begin, someone needs to guide parents through those first critical steps.
That's where you come in.The RoleWe're looking for a Remote Intake Coordinator—someone who can manage new client inquiries, walk families through intake, and ensure all onboarding pieces fall into place.
You'll be the first connection many families have with our team, setting the tone for trust, clarity, and compassion from day one.What You'll DoYou'll own the intake process from the moment a lead comes in to the moment services begin:Respond to inbound leads, primarily from Facebook and online platformsQualify families quickly and efficiently using a proven script (we'll train you)Build rapport with qualified leads and keep communication warm and consistentManage the intake journey, sending forms and collecting required documentationKeep parents informed, updated, and engaged during every step of onboardingTrack insurance authorizations in collaboration with our billing company (you won't submit, but you'll stay on top of progress)Coordinate with the lead BCBA, handing off case info and collaborating on schedulingEnter data into systems like Rethink, Excel, and other web-based toolsAssist with schedule alignment, ensuring BCBAs match family availabilitySupport the admin team, stepping in where needed to keep things organized and client-readyIdeal ProfileWhat You BringYou're warm, organized, tech-savvy—and you love helping people find clarity during uncertain moments.Experience in home care, ABA services, or healthcare intake preferredFriendly, professional communication style—you build positive relationships with familiesComfortable with phone, email, and follow-upTech-savvy: confident with Excel, web platforms, and data entryFamiliarity with Rethink is a plusBilingual (English/Spanish) is strongly preferredOrganized and detail-oriented—you follow up, follow through, and keep things movingMission-driven: You want to help families and make a difference behind the scenesWhy This Role MattersThis isn't just paperwork, it's the beginning of care.
